Map the active and inactive periods
List the opening period, regular activity days and anticipated peaks. Include setup or maintenance teams working when visitors are absent. Explain whether facilities must remain on the property during breaks.
Ask how the proposed rental and servicing handle pauses or changing attendance. Equipment remaining on site does not make an extension or reduced service interval automatic.
Revisit the location as the programme evolves
Seasonal furniture, temporary fencing or other users may occupy different parts of the property over time. Protect the approved approach and arrange any move with the provider. Keep washing accessible through the whole operating period.
If weather or ground conditions change, ask the property contact and supplier to reassess suitability rather than moving equipment onto another surface without agreement.
Close the season with a receiving plan for pickup
Confirm the end date and the person who can give access after normal programme staff leave. Report an extension as soon as it is known so the team can review it.
Send the Port Orange location and recurring schedule for an address-specific equipment proposal. Seasonal demand is not a promise of stock, uninterrupted availability or automatic renewal.
